The Student Services Coordinator is responsible for the duties assigned to Student Services that help assist the student while in school and will assist with compliance with all standards set forth by the Ohio State Board of Cosmetology, NACCAS and Casal Aveda Institute.
Essential Duties and Responsibilities
Track and enter grades/ attendance into SMART.
Assist students with SMART portal and challenges.
Complete and send S1 monthly/distribute monthly attendance report to students.
Complete any counseling of students regarding grades and attendance, notifying appropriate staff of challenges.
Complete attendance forms for Job and Family Services, verification of student status as requested.
Identify students excelling for recognition.
Determine students who exceed Friday and Saturday hours – notify staff.
Complete SAP evaluations- Scan into SMART, notify FA staff and distribute SAP to educators.
Complete transcripts upon request.
Review policies with students during orientation or as needed.
Prepare and send Enrollment Spreadsheet to State Board.
Enter students in time clock.
Create first day forms for new students.
Verify student demographic information (address, phone & email), update in SMART.
Complete State Board paperwork for exiting students.
DT1 upon withdrawal
Release of hours upon balance payment.
Complete LOA paperwork with student and notify appropriate staff
Distribute disability paperwork as requested, collect ongoing paperwork from student and coordinate with campus director.
Notify State Board of any field trips
Determine students to be recognized at graduations for excellence.
Work with education staff, FA staff and campus Director regarding student issues.
Participate in exit interview process for graduating students.
Determine graduation dates and review with students.
Notify appropriate staff – Admissions, FA and Front Desk Manager of upcoming graduation dates.
Review State Board paperwork with students.
Send exam applications to State Board
Track licensing exam results and enter in SMART, follow up with State Board on missing information.
Graduate students in SMART, close out file and send student transcript to student.
Participates in the organizing and participation of Career Fairs, Graduation Ceremony, Meet and Greet/ Orientation, Holiday Open House and Annual Scholarship Competition.
Assisting students with Internships; contacting salons, signing of State Board internship contracts and emailing contracts to State Board.
Assists graduates with job placement by apprising them of opportunities.
Assists in follow up contact with each graduate and their employer through use of Job Placement survey, enters in SMART.
Assisting in documentation as necessary.
Performing other duties as assigned.
